Volunteer Coordinator Roles

Vancouver Gaymers is looking to fill three newly created coordinator roles. These coordinators will work with each other to take care of the tasks needed to run our monthly events, delegating to volunteers where appropriate, and will report directly to the Board. These are unpaid volunteer positions. Training and resources will be provided, and a letter of reference can be provided after six months.

These positions are ongoing, with an anticipated start date of early August 2026. You are required to commit to an initial six month term, which can be renewed. Most of this work will be performed remotely, but you are encouraged to attend at least one in-person event per month and may be required to attend in-person events as needed. The expected time commitment is 5 to 10 hours per month, which includes attending a Board meeting once per month to report any updates, challenges, or suggestions.

To qualify, you must be age 19+, live in the Metro Vancouver area, and identify as a member of the 2SLGBTIA+ community. You will need to have a Discord account and phone or computer with a microphone in order to attend Board meetings.

Event Coordinator

As Event Coordinator, you will be responsible for making sure all our monthly in-person events are booked, adequately staffed, and running smoothly. You will coordinate and train a team of volunteers to run these events.

You will be responsible for the following duties:

  • Creating our monthly events schedule.
  • Booking recurring events at each of our regular venues.
  • Maintaining contact information for each venue.
  • Working with the Community and Marketing Coordinator to ensure social media postings for events are made on time.
  • Ensuring every event has an appropriate number of volunteers for the duration of the event, including set up and teardown.
  • Ensuring that volunteers bring our event supplies to the beginning of each event and take them home at the end.
  • Ensuring any issues with the venue (staff complaints, venue changes, change of dates for events) are brought to the board or resolved.
  • Ensuring that our events have a friendly and welcoming environment, which may include ensuring volunteers are available to greet attendees and help people join games.
  • Working with the Community and Marketing Coordinator to ensure physical materials such as flyers for special events or volunteer name badges are created and printed.

Qualifications:

  • Good interpersonal and communication skills.
  • Organized and detail oriented.
  • Problem solving skills.
  • Able to meet deadlines without supervision.
  • Ability to coordinate and collaborate with a team.
  • Experience with event coordination is a bonus.

Community and Marketing Coordinator

The Community and Marketing Coordinator’s role is to ensure our online communities are running smoothly and communications are delivered on time, as well as to create printed marketing materials such as posters. You will manage and train a team of volunteers who will perform tasks related to marketing.

You will be responsible for ensuring the following duties are performed, delegating to other volunteers where appropriate:

  • Making sure our events are posted on time to our social media pages and Discord.
  • Working with the Events Coordinator to create and print name badges, posters, and other printed materials used at events.
  • Creating graphics for our website and social media sites.
  • Providing support for special events, such as creating graphics and social media posts, and working with the Events Coordinator to create and print fliers.
  • Working with the Board to develop and direct a social media strategy, overseeing the execution of said strategy, and identifying and measuring strategy for effectiveness.
  • Ensuring all our social media sites are up to date, managed, and moderated in line with our guidelines.
  • Handling private messages to each social media site, and communicating relevant messages to the Board appropriately and promptly.
  • Assisting with maintaining and updating website content.

Qualifications:

  • Strong written and verbal communication skills.
  • Familiar with use of social media platforms, including trends and practices.
  • Organized, creative, and self-motivated.
  • Basic graphic design skills (using Canva or Adobe Creative Suite) is required.
  • Previous experience with marketing or communications is a bonus.

Volunteer Coordinator

The Volunteer Coordinator’s role is to promote volunteer opportunities, recruit and onboard volunteers, and help keep them engaged.

You will be responsible for the following duties:

  • Working with the Community and Marketing Coordinator to ensure that postings for volunteer positions are made to the appropriate social media sites, Discord, and/or websites.
  • Screening volunteer application forms and conducting follow-up, including interviews.
  • Providing initial onboarding for volunteers and providing information on expectations.
  • Working with the Events Coordinator to follow-up with inactive volunteers.
  • Working with the Board to develop a strategy for volunteer recruitment and retention.
  • Assisting with planning volunteer appreciation events.
  • Gathering feedback from volunteers on how to improve the volunteer experience and sharing it with the Board.

Qualifications:

  • Strong written and verbal communication skills.
  • Excellent interpersonal skills; friendly and open attitude.
  • Proactive, innovative, and organized.
  • Previous volunteer coordination experience is a bonus.
  • Previous experience with training and onboarding is a bonus.
